New case toolkit

Everything we need, in one place.

Five documents get a case built. Answer two questions and this page tells you exactly which ones apply to you, what each is for, and what usually sends them back.

7–10 business days to build a new case +3–5 business days to load current coverage Clock starts when the last document lands

Are we loading current coverage?

If employees already have plans you want carried across, we need their existing elections.

Is this an Aflac Everwell account?

Everwell accounts need two extra columns on the census.

Step 01

Letter of Understanding

Read and signed by the broker or the account. This is the agreement that lets us build and support the case.

What trips people upNothing starts until the LOU is signed. If you are the broker, the account still needs to sign it.

Step 02

Employee Navigator setup worksheet

Group details, plan structure, eligibility rules and contributions. There are two tabs — both need completing.

What trips people upBoth tabs, and send every plan document with it. A worksheet without plan documents cannot be built.
Download Excel, two tabs
Step 03

Employee demographic census

Everyone who is eligible, with the demographic fields the platform needs to create their records.

What trips people upThe most common reason a build stalls. Use the template as-is rather than sending your own export, and fill every required column.

Step 04

Current coverage — basic enrollments

Existing elections for plans where employees simply have coverage, so nobody has to re-enroll in what they already have.

What trips people upDependent coverage needs each dependent’s name and date of birth. Without those we cannot load them.
Download Excel
Step 05

Current coverage — benefit amount enrollments

Existing elections for plans carrying a specific benefit amount, such as life and disability.

What trips people upSend rates, contributions and plan documents for the current coverage plan year alongside this.

Ticking items here is just for your own tracking. Nothing is sent to us until you email the files.

Sending it back

Use the secure upload folder, not email.

Your census carries Social Security numbers, dates of birth and dependant details for every employee. Email is not the right place for that. Start your case below and we will send you a private upload folder, scoped to that case and nothing else.

How it works

Three steps, no account to create

Fill in the form. You will get an email invitation within a few minutes. Open it, enter your email address, then enter the one-time code Microsoft sends you. That drops you straight into your folder, where you can drag and drop your documents.

  • Verified by a one-time code, no password to set up
  • Scoped to your case folder and nothing else
  • Encrypted in transit and at rest
  • Every upload attributable to a named person
  • Access logged, and revoked when the case closes
  • Held under our written information security policy

Form not loading? Some corporate networks block embedded content. Open it in a new tab or email buildteam@theblueorange.solutions.

Rather walk through it

Book a setup call and we will fill these in together.

Most people do this once and never need the page again. If it is your first build, take the call.

Or call 888 481-3336.

Ready when you are

Let’s put your next group on a platform that runs itself.

Bring a census and a renewal date. We will show you exactly what the build looks like.
